How Quiet Done handles your data.

What Quiet Done collects
- Account details from Firebase sign-in: your Firebase user ID, email address, and display name when available.
- The tasks you write, including their text and timestamps.
- Numeric “embeddings” of your task text, used to find related tasks. They are generated from your task text and stored as numbers.
- The recipients you add: their name and email address. If a recipient opts into text messages, Quiet Done also stores the mobile number they enter and their consent status.
- A log of what you typed and how the app interpreted it, kept to help debug and improve the interpretation step.
- Records of the completion notes the app has queued or sent, including their status.
- A monthly count of notifications, used to enforce a usage cap.
- Requests you send or receive, including the request text, delivery address, response, status, and timestamps.
- For signed-out trials, a random browser identifier and a coarse result such as task created or completed. It does not include the task text.
- A sign-in cookie that keeps you logged in.
- First-visit attribution such as UTM campaign parameters, the referring site, and landing page, linked to your account when you sign up.
How Quiet Done uses it
- To read what you type and turn it into create, complete, or ignore actions.
- To keep your open and completed task lists.
- To send completion notes to the recipients you have set up.
- To deliver requests and record whether they are accepted, declined, or completed.
- To enforce the monthly notification cap and keep costs predictable.
Who it is shared with
Quiet Done relies on a small number of service providers:
- Firebase — sign-in and account identity.
- OpenAI — your task text is sent to OpenAI to interpret what you wrote and to create the embeddings described above. If you use voice input, the audio you record is sent to OpenAI to transcribe it into text; Quiet Done does not keep the audio.
- Resend — sends completion notes and requests by email, and receives the recipient email address and message content.
- Twilio — sends completion notes and requests by text message when enabled, and receives the recipient phone number and message content.
- Stripe — processes Quiet Done Plus subscription payments. Card details go directly to Stripe and never touch our servers.
- The hosting and database provider that runs the app.
- Google Analytics — collects usage data such as pages visited, device and browser information, and approximate location so we can understand how the site is used. It is not sent your task content.
Quiet Done does not sell your data, does not show ads, and does not use your data to train its own models.
A note on your task text
Because the app interprets what you type, the text of your tasks is sent to OpenAI. The same applies to voice input — the audio is sent to OpenAI to be transcribed. Avoid putting anything in a task that you would not want processed by a third-party service.
Recipients
You add recipients yourself, and you are responsible for having permission to contact the people you add. Text messages are sent only after a recipient confirms they want them. Recipients receive completion notes and any requests you explicitly send them; they cannot see your task list.
Text messages (SMS)
If you choose text delivery for a recipient, Quiet Done collects the recipient’s mobile number and whether they have confirmed that they want texts. We share that number with our messaging provider, Twilio, only to deliver these messages.
We do not sell or share your or your recipients’ mobile information or SMS opt-in data with third parties or affiliates for marketing or promotional purposes. Recipients can reply STOP at any time to opt out, or HELP for help. Message and data rates may apply. See our text message program page for the full opt-in details.
Payments
If you subscribe to Quiet Done Plus, payment is processed by Stripe. Your card details go directly to Stripe and never touch Quiet Done’s servers; we store only your subscription status and a Stripe customer reference. Stripe’s own privacy policy governs the payment data it collects.
Keeping and deleting data
Quiet Done keeps your data while your account is active. You can delete your account and everything tied to it — tasks, recipients, interpretation logs, sent requests, and notification records — at any time from the Account screen. A request another person sent to you may remain in that sender’s history after your account is deleted, without a link to your deleted account. You can also reach us at the address below.
Security
Sign-in is handled by Firebase, and your session is stored in a secure, http-only cookie. No method of storage or transmission is completely secure.
Children
Quiet Done is not intended for children under 13.
Changes
This policy may change. The effective date above will reflect the latest version.
